Hey, I need a little letter diplomacy advice by MikeCDN 2006-09-18 10:10:05
To help me override the parts of my brain that are tired and very annoyed.

Basically my company, is providing a server hardware and software upgrade for them, and they seem to want to cut me out of everything but labour.

Part of the original Letter to me, boldness added by me.
Anyway I am looking for a budget/proposal from you so that I can proceed on this project. I am looking for one document that compiles:
* hardware description and cost (we agreed on the $800 option)
* software cost. Specify if this is reseller cost or your cost (i.e. any markup). I assume we would make the order directly to the authorized MS reseller (who is it?)...and cover your costs related to administration of the purchase
* expected installation and configuration hours/costs/date from you. Namely, I am looking for a full project description so I don't have any surprises later.
Can you please send me something? I am sure it only has to be 1 or 2 pages.


My responce
Last time I was around (I believe you were out of the office), I was given a verbal go ahead on the server software from *President*, but if you'd like I'll throw something together. For later this afternoon.

The hold up on this project on my end is that between *Branch 1* and *Brand 2*, I'm waiting on being paid for past projects. There is currently about $9,000 outstanding, and I can't financially afford to go into another project with *Company* until this is covered.
The responce I got.
Michael, I would think on items involving large expenditures (hardware, $4900 software) we should structure it where *Company* buys the items direct instead of you having to front the money. That way you could still invoice us for your labour etc (usually the small part) and *Company* could cover the big part. This would not cut into your credit line. We dont want to delay our projects based on that, and we dont want you to be out of pocket as a consultant.
I believe we just got your invoice 2 days ago.
We will process it as quick as possible and hopfully proceed with this next job.
Please put some thought into what I am proposing, I think it makes the most sense for both parties. Hopefully this is just a msunderstanding. Remember, at any time if you want to discuss financing, payment terms, anything else, just email or call my cell at *number*. I hope this makes you feel more at ease.
Now he wants to cut me out of software too? Okay, writing a responce here... I need to know if I'm being too heavy handed.

What would you think if *Customer1* or *Customer2* were to ask you who your suppliers were, and how much you were paying them / how much you were marking things up?

It seems that by asking me what my markup is, your trying to back me into a corner, so you can negotiate me down.

That being said, I did not mark up the cost of the server software, the price I gave was straight from the quote I was given. This was given after several (uncharged) hours of looking for options, versions, and different stores.

This is a lot of legwork done by my company with my contacts. If I was to hand over the contact information to you, I doubt that you could get the same price, atleast without renegotiating, so what I did was in vain. Also if I'm cut out of the loop on the purchase, what was the point of me doing this legwork? Yes there is no markup on this item, but that’s only because I want this upgrade done there as much as anyone else, since I know how necessary it is. However if I was to give you my vender information, what need would you have for me on a future item? I have seen the same protection of *Company* about who suppliers are, and the protections done to stay in the loop. So why would you ask other of me?

As for the invoices, it was, a week and a half, not 2 days. Admitadly this is still a short time considering, and I should have been more prompt in the billing, but I'm still getting things set up and organized. Growing pains if you will.
So... anyone more dipolomatic then me have any responces, the first email exchange was between me and him. Then for this last letter he carbon copied the president, the other managers, and the accountant (WTF?). The price and job was already agreed to by the President (this guy's boss), so why i'm having to justify my cost I do not know.
